Cancellation & Booking Policy
Your Appointment Time Is Reserved for You
When you book with BareWolf®, we reserve dedicated clinic time, equipment and a therapist specifically for your appointment.
We understand that plans sometimes change. Providing sufficient notice gives us an opportunity to offer that appointment to another client and helps our clinics run fairly and efficiently.
Cancellation and Rescheduling Notice
Please give BareWolf at least 24 hours’ notice if you need to cancel or reschedule an appointment.
With 24 Hours’ Notice
You may cancel or reschedule without a cancellation fee.
Within 24 Hours
A late-cancellation fee of 30% of the booked treatment value may apply.
No-Shows
If you miss your appointment without contacting us, you may be charged up to the full value of the reserved appointment.
Any fee applied will reflect the appointment time and clinic capacity reserved for you and will be handled consistently with applicable consumer law.
Deposits and Prepaid Treatments
Where a booking deposit has been taken, it may be applied toward a late-cancellation or no-show fee.
For prepaid treatments, packages or account credits, the relevant session or an appropriate portion of its value may be deducted where the cancellation policy applies.
Any deposit, package or credit conditions will be disclosed before your booking is confirmed.
Late Arrivals
Please arrive on time so your therapist can complete the required consultation, preparation and treatment safely.
If you arrive late:
- Your treatment time may need to be shortened
- Some treatment areas may need to be omitted
- Your appointment may need to be rescheduled if the treatment cannot be completed properly or safely
- A late-cancellation fee may apply when there is insufficient time to proceed
We will not rush a treatment or compromise safety to fit it into the remaining appointment time.
Consultations
Cancellation conditions also apply to consultation appointments.
Any consultation fee, deposit or booking condition will be clearly explained before the appointment is confirmed. The $99 Starter Pack and other offers remain subject to their stated inclusions and conditions.
Repeat Late Cancellations or No-Shows
Clients with repeated late cancellations, rescheduling or missed appointments may be asked to:
- Prepay for future appointments
- Pay a larger booking deposit
- Book only through the clinic
- Settle outstanding cancellation fees before making another booking
Emergencies and Exceptional Circumstances
We understand that genuine emergencies and unexpected circumstances occur.
Please contact BareWolf as soon as possible. Any exception or fee adjustment will be considered reasonably and individually, but contacting us does not automatically guarantee that a fee will be waived.
If BareWolf Needs to Change Your Appointment
Occasionally, we may need to change an appointment because of therapist availability, equipment servicing, a safety issue or another unforeseen circumstance.
If this happens:
- We will contact you as soon as reasonably possible
- We will offer an alternative appointment
- No client cancellation fee will apply
- Any affected deposit or prepaid value will remain available to you or be handled in accordance with your rights under Australian Consumer Law
How to Cancel or Reschedule
Please use the cancellation or rescheduling option provided with your booking confirmation, contact the clinic or call 1300 227 953.
Your cancellation is not confirmed until it has been successfully processed or acknowledged by BareWolf.
Before Confirming Your Appointment
Your booking confirmation should clearly identify:
- The clinic location
- The treatment or consultation booked
- The appointment date and time
- The expected appointment duration
- Any deposit or prepayment required
- Applicable cancellation conditions
- How to cancel or reschedule
Australian Consumer Law
Nothing in this policy excludes, restricts or modifies any rights or remedies that cannot legally be excluded under the Australian Consumer Law.
